Executive Assistant to the CEO

JOB DESCRIPTION 

JOB TITLE: Executive Assistant to the CEO 

REPORTING TO: Chief Executive Officer  

TERM: Permanent 

FULL/PART-TIME: Full time, minimum two days a week in the office 

LOCATION: Based in Roehampton, South West London, UK 

SALARY: £37,500 p/a

ITIA OVERVIEW 

The International Tennis Integrity Agency (ITIA) is an independent body established in 2021 by our members - the ITF, ATP, WTA and Grand Slams - to promote, encourage, enhance and safeguard the integrity of professional tennis worldwide. The ITIA administers the Tennis Anti-Corruption and Tennis Anti-Doping Programmes and is supervised by a board consisting of five Independent Members and four Tennis Members, representing the funders.

We have recently been on a journey to review and define our vision and values: to remind ourselves why we do what we do, the direction we are taking, and who we’re going to be along the way. 

PURPOSE OF THE ROLE 

The role of the Executive Assistant is to provide support to the CEO and wider Executive Team to ensure the smooth operation of the ITIA. 

Responsibilities:  

The main functions of the Executive Assistant are:  

  • Arranging meetings for the CEO and Executive Team. This may include diary management, arranging travel (including international travel), and sourcing and booking venues.  

  • As requested, taking notes at meetings, preparing minutes, and distributing to relevant colleagues.
     
     
  • Arranging Executive Team and other meetings and managing action trackers.
     
  • Supporting the CEO and the Executive Team with the preparation of presentations using PowerPoint and other IT solutions.
     
     
  • Ensuring that systems and processes across the ITIA are efficient and best support the work of the team (including in relation to travel and expenses). 

  • Supporting the Legal team with the coordination of hearings. 

  • Supporting the Office Manager. 
     
  • Collaborating with the PA to the ITIA Board to ensure the smooth running of ITIA Board meetings and committees as needed. 

You will:  

  • Have experience of working as an assistant to a CEO (or similar) with a proactive and professional mindset.
     
  • Have expert IT skills including Microsoft Office 365 suite of applications, including Outlook, Word, Excel and PowerPoint.  

  • Have experience of project management.
     
     
  • Possess excellent attention to detail.
     
     
  • Be able to interact with a Board and senior stakeholders with confidence and credibility.
     
     
  • Have excellent written and verbal communication skills. 
     
  • Be able to perform under pressure, maintain strict confidentiality and prioritise effectively.  
  • Have a positive attitude and be the ‘go-to’ person for colleagues.
     
     
  • Be flexible, with the ability to adapt to situations that arise in a global, year-round sport.
  • An interest in and understanding of tennis or sport.
     
     
  • Relevant language skills.
     
     
  • Relevant Professional PA and Administration skills Certificate.
